B2B procurement worksheet
Portable Coffee Machine Receiving Checks: A 6-Field Inspection Record
Record incoming portable coffee machines against the approved sample with six traceable fields, without inventing defect rates or inspection acceptance limits.

Short answer
Portable Coffee Machine Receiving Checks
For receiving checks, connect each observation to six fields: order reference, model and revision, carton or unit identifier, check performed, observed result, and disposition. Use the agreed inspection scope; a six-field record is not an AQL sampling plan or proof that every machine was tested.
Make an observation that another person can repeat
'The order looks fine' is difficult to use when a retailer later raises a problem. Record what was opened, which configuration was checked and how the result was observed. A photograph helps only when it can be matched to the model, order and relevant carton.
Receiving checks should follow the approved inspection agreement and supplied operating instructions. The worksheet below organizes the record. It does not authorize electrical safety testing, define acceptable defects or replace a qualified inspection service.
Six fields for each check
One row should describe one traceable observation. Keep the original photograph or video reference with the row.
| Field | What to record |
|---|---|
| 1. Order reference | PO number, receipt date and approved sample reference |
| 2. Model / revision | Exact model, color and artwork or configuration revision |
| 3. Identifier | Carton label and unit or internal tracking identifier |
| 4. Check | The agreed visual, count, accessory or operating check |
| 5. Result | Observed value or issue, plus evidence reference |
| 6. Disposition | Accepted, held for review or other agreed next action |
Separate carton count from a unit check
For a homogeneous standard shipment, 3 cartons × 16 units per carton gives an expected 48 units. That multiplication is a packing expectation. It does not demonstrate that all cartons contain the right quantity or that the machines operate correctly.
Record the actual receipt count, any opened cartons and the units inspected separately. A mixed-model shipment may use a different packing plan, so use its approved packing list instead of applying a homogeneous carton assumption.
Give an exception a clear next step
If an accessory differs from the approved sample, hold the affected configuration for review and send the supplier its identifier and evidence. Avoid swapping parts across models to create an apparent match. The replacement decision should follow the confirmed component list.
After the issue is reviewed, record who approved the disposition and when. Keep this with the reorder file so the same ambiguity does not return in the next shipment. The number of units inspected and the acceptance decision must come from the agreed inspection scope, not this article.
- Retain the approved sample and component list.
- Use model-specific operating instructions.
- Keep a pending issue open until a disposition is recorded.
Questions buyers ask before approval
Does a six-field record mean six machines must be inspected?
No. Six describes the record fields. Sampling quantities and acceptance criteria must be agreed separately.
Does 3 × 16 prove that 48 machines passed inspection?
No. It gives an expected quantity for three standard homogeneous cartons. Actual counts and inspection results need separate records.
Can this receiving check establish safety certification?
No. A receiving record does not replace applicable testing or establish certification. Review model-specific documents and the agreed inspection scope.
